WELCOME AND INTRODUCTIONS

The meeting was called to order at 1:33pm by the presiding Chair, Janetta Paschall. Janetta welcomed all to the meeting.

MINUTES

Minutes from the GODORT business meeting at the 2002 Annual Conference were distributed and approved with one correction.

ANNOUNCEMENTS

There were no announcements.

REPORTS OF OFFICERS AND COMMITTEES

Treasurer's Report (Bennett Ponsford)

According to statements dated 7/1/2001 through 6/30/2002, GODORT has an ending balance of $749.36. Bennett will check into whether TLA ever straightened out the confusion over the bill for the 2000 GODORT breakfast.

It was generally agreed that we need to raise money, possibly through a pre-conference.

Counselor (Coby Condrey)

Coby reported that Council has been relatively uneventful.

Vice-Chair (Valerie Glenn)

The main GODORT program for the 2003 conference will be a panel on the importance of access to government information and depository libraries. Speakers will include someone from GPO, TSLAC (Coby Condrey), and depository librarians from academic and public libraries. The audience will be public and academic librarians and directors.

Awards Committee (Susan Norrisey)

Bonnie Grobar won the 2002 TLA GODORT/MARCIVE "Knowledge is Power" Award. Changes to the award eligibility requirements, which were approved at the last meeting, have been updated on the web site. Theresa Storey volunteered to be on the committee.

TLA GODORT History Web Site (Melody Kelly)

Nothing new to report.

Electronic Resources Committee (Caroline Geer)

The program at the 2002 conference was wonderful and well-attended. The Committee will be meeting 7/22/2002 to determine next years program and is looking for new members, so everyone is encouraged to attend.

State Plan for Texas Documents Committee (Tom Rohrig)

The Committee is reviewing comments and will post the revised State Plan on the web before sending out the final version.

Web Site Committee (Bennett Ponsford)

The web site has been updated with current officers, information about the mentor program, the 2002 TLA GODORT/MARCIVE "Knowledge is Power" Award information, and links to Melody's History of TLA GODORT. All links to depository libraries in Texas have been updated. Everyone is encouraged to double check that the link to their library works properly.

Newsletter (John Hepner)

After some discussion it was agreed that we would distribute two newsletters this year, one in October and one in February, and that distribution would be electronic.

Concern was raised that members are not automatically added to the online mailing list. Cathy Hartman moved, and Coby Condrey seconded, that this be taken up with our Executive Board Liaison.

NEW BUSINESS

Joe McCord, GODORT's Liaison with the Executive Board, discussed the President's goals for the year and the current concern over continued TIF funding. He encouraged everyone to attending the upcoming program on TIF funding and find out what we can do to help. He also mentioned the new electronic discussion groups available through TLA and that it is possible to conduct elections through them.

Helena VonVille of the University of Texas Health Science Center at Houston's School of Public Health Library presented a proposal for a pre-conference or conference program on Charting Health-Related Information for the Citizens of Texas. The members approved a pre-conference, with exact location and time to be determined. The members also approved a cost of $90.00 to attend, which will include lunch and snacks.

TLA-GODORT will also co-sponsor a program on the Library of Texas with the Texas State Library and Archives Commission.

Chair Janetta Paschall raised the issue of committee charges, of which we have none in writing. Committee chairs need to write a short paragraph by the 2003 conference describing their committee's charge.

Clarice Luce, Susan Norrisey, and Brenda Barnes were nominated and elected by acclaim to the Nominating Committee.

The meeting adjourned at 3:30 pm.
