- HOW
TO E-MAIL |
How do I send an email to all the members of my round table, committee, or other TLA unit?
You can do this directly, by sending an email to the appropriate email address, or via the TLA website by using the Lyris List Management system.
To send an email directly from your email account, refer to the attached list for the appropriate email address. Be aware that your email must be sent from the email account you have indicated in your TLA membership information is your primary email account. For example, if your primary account is your work email, dewey@decimalu.edu, you will not be able to send emails to a TLA list from your personal account, deweydecimal@gmail.com.
To use the Lyris system, go to the TLA website, login to the “Members Only” section and select “Membership Distribution Lists.” You will be sent to the Lyris system, where you can login and get a list of all lists to which you belong.
Both systems are based on the membership information maintained by the TLA office. Therefore, it is extremely important for you to update your information when changes occur, such as when your email address changes. You can do this very easily through the TLA website. (In the Members Only section, choose “Modify Membership Information.”)
How do I send an email to only the officers of my unit?
Each unit (except for committees) has a separate distribution list for the unit officers. Those addresses are in the format of UnitNameOfficers@txla.org. Check the attached list for your unit, and just add “officers” before the @ sign; for example, to email TASL officers, address to taslofficers@txla.org.
Why can’t I just create my own list of addresses for my unit members or officers?
One important reason to use either of the TLA distribution list methods is to ensure that you have the correct members and correct addresses for your group. The second important reason is to ensure that other appropriate individuals receive your messages. For example, Executive Board liaisons and certain TLA staff are included in unit officer TLA lists but are often overlooked when the officers create their own lists. These individuals can be valuable resources even when you might not think of them!
How do I send an email to an individual TLA member?
You can obtain email addresses for individual TLA members through the TLA website. Login to the “Members Only” section, choose “Membership Directory,” and then type in the name of the individual whose email address you need.
Why am I not receiving emails from my unit?
If you have trouble receiving TLA emails, first check to be sure your email address is current in the membership directory. (See directions above for accessing the directory on the TLA website.) If your institution has gone through a system update, it is possible your email domain name has changed without effecting the email address you and your correspondents view, and so without your knowledge.
The second common problem is with spam filters. If you discover that emails from TLA are being sucked into your spam filter, contact Randy May of the TLA staff: randym@txla.org, 800.580.2852 ext. 152, or 512.328.1518 ext. 152.
What do I do about other problems with using or receiving TLA email?
Contact Randy May, TLA Network Administrator, with any problems you have. Occasionally, as with any system, the TLA network encounters problems of which the system administrator may not even be aware until users point it out.
