HOW TO GET NEWSLETTERS
PRINTED AND MAILED
Printing/Mailing Options:
· TLA prints and mails the newsletter: Send camera-ready copy, disk, or e-mail
attachment (route to lyndab@txla.org) to the TLA office. If there are more than 200 newsletters they are
eligible to be mailed bulk mail. If
being mailed via bulk mail please ensure TLA's return address and bulk mail
indicia are on the last page. TLA will
have the newsletter printed with a local printer. Be sure to include any specifications with
regard to size, layout, color paper, quantity to be returned to editor,
headings/logos, etc. preferred for the newsletter. Once completed the printer will route the
newsletter to a mailing service where labels will be applied, pieces sorted
according to Postal regulations and all material will be dropped at the Bulk
Mail Center in Austin. The designated
unit will be debited the cost of printing, folding, labeling, and sorting, plus
postage and labels.
· Unit prints newsletter and sends to TLA
Office for mailing: Have newsletters
printed making sure to include TLA's return address and the proper bulk mail
indicia. No handwritten indicia’s will
be accepted! Call Lynda Becker at the
TLA Office to request self-adhesive mailing labels, a disk with member names and
addresses, or to request an e-mail attachment (comma delimited) containing
applicable mailing information. Please
also indicate if bulk mail supplies (rubber bands, D’s and 3’s, etc.) and/or
instructions are needed. If information
is being received via a diskette or e-mail attachment the unit designee may
print applicable information on self-adhesive labels or the actual
newsletter(s). If the folded newsletter
contains loose material, inserts, etc. please ensure a tab is at the top/center
of the newsletter. If there are not
loose documents or inserts tabbing may not be required. Return to TLA the folded newsletters with
labels applied, bundled according to bulk mail instructions, with a total count
of how many pieces are in the mailing. The TLA Office will drop at the Austin
Post Office within one-two business days.
Be sure to allow 2-3 weeks for bulk mail delivery. The unit will be charged for labels, postage,
and any expenses incurred by the news letter editor.
· Units may utilize the TLA list-serve for
electronic mailing of newsletters: Send the newsletter as an e-mail attachment to
Lynda Becker at the TLA office (lyndab@txla.org). The newsletter will be posted onto the
TXLA.ORG website thus document must be HTML or PDF compatible. Notification/e-mail will be distributed to
members designating “electronic” receipt preference that newsletter is
available on the TLA website for review.
Members designating “hardcopy” preference will still need to receive the
newsletter thus procedures above may be followed. Remember, 200 pieces are required in order to
“bulk-mail” newsletter(s). If less than
200 count are being distributed the unit will incur First Class mailing fees.

· Non-Profit Bulk Postage: $.158 per
piece
Bulk Mail Information:
· There must be at least 200 identical pieces to be mailed.
· Material MUST be mailed from the TLA Office.
· Each
piece must have TLA's name and return address and the bulk mail indicia
(located where the stamp belongs).
Contact the TLA Office for a camera-ready original.
· Always
notify the TLA Office with the Exact
Count of pieces in the mailing. If
the count is not correct, or the sorting is not via zip-code the Post Office
will delay the mailing.
· Allow 2-3 weeks for delivery.
Mailing Content:
· Mailing
cannot contain any mention of TLA’s liability insurance program, credit card
program, or travel agency recommendations.
· Mailing
cannot contain any type of order form from any entity looking to make a profit
outside TLA.
· Mail
going to FOREIGN COUNTRIES are not allowed under the bulk rate system. These must be mailed First Class. Return these items to TLA for first class
postage.
