CALENDAR

TLA 2003 Conference

  • Committee meets to wrap up 2003-04 and begin 2004-05 year’s work

  • New members attend TBA Committee meeting

  • Book suggestion meeting on program. 

  • Committee assists with student participation activities and other Bluebonnet work at Conference Award Ceremony.

  • Committee members assist in TBA Booth in exhibits and in the author signing area to assist winner, if needed.

  • Coordinator meets with CRT and TASL Boards and presents a short report at the business session of both groups.

  • Coordinator attends TLA Council sessions and next year’s planning session.

APRIL

  • April 1, registration period opens

  • Mail orders for bookmarks, seals, video, and other TBA items

  • Committee members and others send suggestions of books to be considered for the 2004-2005 master list

  • Coordinator organizes books on suggestion list according to publishers

  • Coordinator gathers information on committee members in preparation for book requests to publishers

 MAY

  • May 3, coordinator mails letters to publishers requesting books on suggestion list be sent to committee members.

  • Coordinator sends out thank you notes to participants, publishers, etc.

  • Registration and mail orders continue

  • Reading begins as materials are received

JUNE

  • Reading continues as materials are received

  • Mail activities booklet as schools continue to register and ship mail order items

JULY

  • Reading continues as materials are received

  • Coordinator mails to publishers requests for additional suggested titles

  • TBA Task Force on Inclusion of Home Schooled Students meeting

  • August 8, coordinator mails last requests to publishers for review copies

  • August 9, newsletter due to coordinator for September mailing

  • August 13, coordinator makes reservations in Austin for October selection meeting

 SEPTEMBER

  • Reading continues as materials are received

  • Mail activities booklet as schools continue to register and ship mail order items

  • Coordinator collects names of missing books from TBA committee and contacts publishers for copies

  • September 2, TBA Newsletter to be mailed

  • September 2, Master List committee mails reviews to all TBA committee

  • September 16, Master List committee mails list of all eligible books and instructions for first round ballot to TBA committee

  • September 23, deadline for committee members to return ballot listing their top 20 titles

  OCTOBER

  • Reading continues as materials are received

  • Committee members review books on “short” list

  • Coordinator works with TBA luncheon chairman

  • October 7, Committee members receive list of all books receiving one or more votes on first round ballot

  • October 7, Master List subcommittee members complete preparation for selection meeting

  • October 10, postmark deadline for librarians submitting for the drawing for student representatives

  • October 16, deadline for second round of voting, if needed

  • October 21, notify schools selected for student participation

  • October 25, TBA Committee meeting in Austin

  • October 26, TBA Committee meets to select 2002-2003 master reading list.

  • Video, award ceremony, and student representative activities are reviewed

  • Meeting will be in Austin at the TLA office

  • Committee expenses reimbursed for this meeting only

  • October 28, coordinator begins notification of publishers to verify availability of selected books.  Alternates used is necessary

  NOVEMBER

  • Student Participation subcommittee receives names of student representatives all month

  • Video script prepared by video subcommittee

  • Coordinator prepares voting packet materials which include sample ballot, voting instructions, voting report, new master list, TBA Newsletter, suggestion form, form to share ideas using the TBA Master List books

  • Coordinator works with TBA luncheon chairman

  • November 5, deadline for all TBA committee applications returned to TASL and CRT Chairs for selection of new TBA committee members

  • November 18, Release date for 2002-2003 TBA Master List

  • November 18, committee members send annotations for two books on Master List to coordinator for inclusion in activities booklet

  • November 25, voting packet to printer

DECEMBER

  • Video subcommittee revises and completes script preparation and prepares for videotaping

  • Coordinator works with TBA luncheon chairman

  • December 2, Video script due to coordinator who sends it to the TLA Publications Committee for approval

  • December 6, Voting packet mailed to schools by first class pre-sort with address correction requested printed on envelopes

  • December 16, TBA Activities Booklet sent to TLA Publication Committee for approval

  JANUARY

  • Voting for TBA winner takes place in schools

  • Video subcommittee completes work as early as possible and follows instructions from TLA Publication Committee approval

  • Coordinator works with TBA luncheon chairman

  • January 13, coordinator, in cooperation with TLA/TBA office, completes supply projections, acquires quotes and places orders for inventory stock for 2002

  • January 20, student participation subcommittee send registration to student representatives

  • January 31, deadline for completion of TBA video

  • January 31, postmark deadline for submitting voting report

  FEBRUARY

  • Committee members follow student representative time line

  • Preparations for award ceremony continue

  • Coordinator works with TBA luncheon chairman

  • February 1, coordinator and committee members complete articles for the March newsletter and other items in the March mailing. 

  • February 1-14, votes tallied

  • February 14, coordinator notifies committee, publisher (who notifies author), TLA office with request that it be on the web page, and other who request it, of the winning book title

  • February 17, TBA winner announced on TLA web site, TBA list serve, TLC list serve

  • February 24, March mailing sent

 MARCH

  • Preparation for conference continue

  • Coordinator continues to work with publisher and student representative subcommittee regarding arrangements for the TBA part of award ceremony

  • Coordinator works with TBA luncheon chairman

  • March 18, subcommittee chairs file with coordinator annual report of subcommittee work

  • March 18, student participation chair arranges for TBA luncheon invitations

  • March 29, student participation chair sends invitations to students and guests

  • Coordinator recruits volunteers and arranges schedule for Bluebonnet booth
