TLA offers member distribution lists, also known as listservs, for every division, round table, interest group, and district, as well as a separate officer list for each of these units and committees.  These lists serve to promote discussion of important topics to the units.

Participation in the list

Unless you indicate otherwise, members are automatically subscribed to all unit lists applicable. For example, if you are a member of TASL, CRT and live in District 10, your primary email address (as you indicate on your membership form) will be subscribed to each of these lists. If you do not want to be automatically subscribed to TLA lists, then simply check the preference selection—“I do not want to be automatically subscribed to my Unit electronic distribution lists”–on the printed or online membership application. 

If at any time, you want to change the status of whether or not you want to be subscribed to unit lists, simply go to the “Members/Officers Only Section”  and choose to “Modify Membership Information/Choices.”  There, you may check the box that says “I do not want to be automatically subscribed to my unit electronic distribution lists,” and your email address will be removed.  Another great feature of this upgrade is that every time you modify your primary email address, it will automatically be updated on the appropriate lists.

Officer Lists

Officer lists are based on TLA’s officer database.  The term “officer” is used to describe all elected officers, as well as appointed committee members.  Changing your member preference will not remove your email address from officer lists, only member lists.  

Members of officer lists may retrieve a list of email addresses that are subscribed to a particular officer list to which they are subscribed by sending an email to lyris@txla.org.  The email should contain the command “review listname” (e.g., review crtofficers).  The system will return an email with a list of email addresses and some general information about the distribution list.  This feature is not available on the member lists. 

Chairs, unit newsletter editors, and other officers can now take advantage of reaching their unit members by posting messages to the member lists rather than contacting the TLA Office to distribute their message.  

To use the web interface

All member and officer lists are available online via the Members/Officers Only Section, where members can read and search archived messages or change their list delivery method.  The lists are closed so only members of that unit who prefer to be subscribed may post and receive messages, or read the archives. 

Instructions for setting list preferences

Once you log into the web interface by entering your preferred email address, you will be able to choose from five delivery settings:  

 Normal Mail

Receive messages as they are contributed.

Digest Mail

Each night, around 12:00 am, you will receive a single email message containing all the messages contributed to the list that day. At the top of the message will be a numbered list of the subjects in that digest, followed by the complete messages themselves. This setting sometimes delivers strange characters as it does not keep the formatting of the original message.

MIME Digest Mail

The same as a digest, but in MIME format so that the individual messages' formatting is preserved. Some email clients such as Outlook will show the MIME digest as a series of attachments.  This is the preferred digest mode for most email programs since it excludes many characters and programming codes that often clutter messages.

Index Mail

Each night, around 1 in the morning, you will receive a single email message containing all the subject lines of all the messages contributed to the forum that day. If any of the messages interest you, the bottom of the index gives the email command that will retrieve the bodies of the messages.

Technical difficulties

If you run into technical difficulties (e.g., your messages bounce back or you are not receiving any mail, there are typically two main reasons for these problems and need to be resolved at the subscriber’s address.

  • ACCOUNT ON HOLD MESSAGE: This email is to notify you that this email address has been placed in a "hold" status.  Your subscription has been held because at least 2 recent messages have been either bounced by your email system, or could not be delivered at all. Your membership can be restored to normal by sending a blank email to unhold@txla.org.
  •   UNABLE TO RECEIVE MESSAGES: Note that if your email address continues to reject mail your subscription will once again be held.  Common causes for rejected mail are a firewall that does not allow mail delivery to groups.  To correct this problem, please contact your IT department and ask them to allow all postings from the domain @txla.org. 

  •   YOU ARE UNABLE TO POST:  First, please verify that you are subscribed to the list. Another possible problem may be due to the fact that the email address is incorrect. Your subscribed email must be exactly as it comes across on an email message from you.  For example, you may be able to send and receive mail from bob@acme.com, but the email actually comes across as bob@mail.acme.com.  In order to post messages, your subscribed email address must include the "mail" extension in the email address.
